How to manage Deposits?

Making a deposit involves crediting a Member's account

Very important : Members can initiate a deposit to their account.
Members after making a deposit via: Mobile Money, Cheque, Bank transfer, Credit card can initiate payment for their Contribution,
  • The deposit will remain pending until an Admin confirms it
  • By confirming the deposit, all payments made with it will be confirmed

A deposit represents money that a member has paid into the association (via bank transfer, mobile money, cash, etc.). The deposit must be validated by a finance officer before the funds are officially credited to the member's account.

Member or Finance officer records a deposit

The deposit is recorded with the amount, date, and payment method (Mobile Money, bank transfer, cash, etc.).

Deposit is pending

The deposit is in Pending status. If your configurations allow it, the member can already use the pending funds to pay contributions.

Finance officer validates the deposit

Once the finance officer confirms receipt of the physical payment, they validate the deposit in the admin panel.

All payments are confirmed

As soon as the deposit is validated, all contribution payments made using that deposit are confirmed simultaneously.

Open the member profile

Navigate to the Members list and click on the member you want to credit.

Add a deposit

Click the "Add deposit" button in the member's deposits section.

Enter the amount and payment method

Enter the amount received and select how the payment was made (Mobile Money, bank transfer, cash, cheque).

Save

Deposits made by a finance officer are automatically validated — they go directly to confirmed status.

Member opens the EKKOU mobile app

The member logs in to their EKKOU app and goes to the Deposits section.

Initiates a deposit

The member enters the amount they are sending and the payment method. This creates a pending deposit record in the system.

Deposit is pending until validated

The finance officer sees the pending deposit and validates it once they confirm receipt of the payment.

Member can pay contributions with pending funds

If enabled in configurations, the member can immediately use their pending deposit to pay contributions. Payments will be confirmed when the deposit is validated.

Deposit status flags

Every deposit has a status that determines whether it has been confirmed and can be used for contribution payments.

Pending

The deposit has been initiated (by the member or finance officer) but not yet validated. The member can use pending funds to pay contributions if the 'Member deposit and pay before validation' setting is enabled.

Validated

The finance officer has confirmed the deposit. All contribution payments made with this deposit are simultaneously confirmed.

Tips!

Finance officers can validate deposits from the member's profile page. Validating a deposit confirms all payments made against that deposit at once.
