Understanding categories

Important!

  • You can classify your Members into Categories
  • It's important to classify your Members into Categories if you manage Contributions based on different types of Members
  • A Member can belong to only one Category, but they can switch from one Category to another

Category Form Fields

1

Category Name

The name of the category (e.g. Full Member, Associate Member, ...). This name will appear throughout the platform wherever categories are referenced, including the member registration form and contribution reports.

2

Description

An optional description to explain the purpose of this category. Use this to document internal rules or eligibility criteria for your team.

3

Open

When enabled, this category is visible in discovery and allows members to register directly to the association without administrator involvement. See the "Understanding the category flags" section below for a full explanation.

4

Pay for related members

When enabled, members in this category automatically cover contribution payments for all the members they sponsor. See the "Understanding the category flags" section below for a full explanation and examples.

5

For Sponsored Members

When enabled, any new member registered under this category must be linked to a sponsor. A Sponsor selection field will appear during registration. See the "Understanding the category flags" section below for a full explanation and examples.

Understanding the category flags

Each category has three optional toggle flags that control direct registration, contribution responsibility, and member sponsorship. These flags are independent and can be combined depending on your association's rules.

Flag 1

Open

Open — direct registration via discovery!

When this flag is enabled, the category is open for direct registration. Members can discover your association and register themselves directly under this category without any administrator action. This is the entry point for self-service membership.
Practical example

A person discovers your association through the EKKOU platform. They browse available associations and find yours. Because you have a 'General Member' category with Open enabled, they can tap 'Join' and register directly into that category. A restricted category such as 'Honorary Member' would have Open disabled — only an administrator can assign members to it.

Open enabled

Visible in discovery. Any person can register directly under this category.

Open disabled

Not available for self-registration. Only administrators can assign members to this category.

Tips!

Enable Open on your default general membership category. Keep it disabled on categories that require vetting, election, or administrator approval such as board members or honorary members.
Flag 2

Pay for related members

Pay for related members!

When this flag is enabled, members in this category automatically cover the contribution payments of any members they sponsor. This means the sponsor's payment record includes both their own contributions and those of their sponsored (related) members.
Practical example

Imagine a 'Full Member' category with this flag enabled. If Alice is a Full Member and sponsors Bob (who belongs to a sponsored category), Alice's contribution payment automatically covers Bob's dues as well. You do not need to record a separate payment for Bob — it is handled through Alice.

MemberCategoryPays for
AliceFull MemberHerself + Bob (her sponsored member)
BobDependent MemberCovered by Alice

Important!

If this flag is disabled, each member — including sponsored members — must have their contributions recorded individually.
Flag 3

For Sponsored Members

For Sponsored Members!

When this flag is enabled, members registered under this category must be linked to a sponsor — an existing member who vouches for them. A 'Sponsor' selection field will automatically appear in the member registration form whenever this category is selected.
Practical example

If you create a 'Dependent Member' category with this flag enabled, every new Dependent Member registration will require selecting a sponsor from the existing member list. This sponsor is responsible for the dependent and creates a traceable link between the two.

During member registration

When an administrator selects a 'For Sponsored Members' category while registering a new member, an additional 'Sponsor' field appears. The administrator must then select the existing member who is sponsoring this new registrant.

Tips!

If this flag is disabled, members in the category have no sponsor relationship and are registered as independent members.
Combined

Typical two-category setup

Most associations that use sponsorship set up two complementary categories: one for primary (paying) members and one for sponsored (dependent) members. Here is the recommended flag configuration:

CategoryPay for related membersFor Sponsored MembersRole
Full MemberEnabledDisabledPrimary member — pays for themselves and their dependents
Dependent MemberDisabledEnabledSponsored member — must be linked to a Full Member sponsor

Important!

You can also enable both flags on the same category. This means members in that category can themselves be sponsored AND can pay for their own sponsored members — creating a multi-level sponsorship chain.

Change Member Category

Caution!

Please be careful with changing Member categories as it can affect Contribution payments.

You can reassign a member from one category to another at any time from their member profile. This is useful when a member's status changes within the association (e.g. a dependent member becomes a full member). The change takes effect from the date you specify.

1

Open the member profile

Navigate to the Members list and click on the member whose category you want to change.

2

Select New Category

In the member profile, use the category selector to choose the new category for this member.

3

Adjust Category join date

You can only change the Contribution start date for this Category. This determines from which date the new category contribution rules apply.

4

Click to confirm

Confirm the change. The member will now be tracked under the new category for all future contribution periods.
