How to register Members?

Register a Member

Click Add a Member

From the Members list, click the "Add a Member" button to open the registration form.

Select the Member Category

Choose the category for this member. If the category has the "For Sponsored Members" flag enabled, a Sponsor field will appear — select the existing member who is sponsoring this new member.

Enter the member code

Assign a unique identification number or code to this member. This code is used across the platform to identify the member.

Fill in personal details

Enter the member's first name, last name, phone number, email address, sex, country, city, and any other required fields.

Set the join date

The join date determines from which date contributions start being calculated for this member.

Category

The member category determines which contribution rules apply and whether a sponsor is required.

Member Number

A unique alphanumeric identifier for the member within your association. Used in reports and on the member card.

First name and Last name

The member's full legal name.

Sex

The member's gender (Male / Female). Used in demographic reports.

Phone number

The member's primary phone number. Used for SMS notifications and mobile app connection.

Email address

Used for the member's EKKOU account and login to the mobile app.

Join date

The date the member joined the association. Contributions are calculated from this date.

Has smartphone

Indicates whether the member has a smartphone to use the EKKOU mobile app.

Sponsor (conditional)

Only appears when the selected category has the "For Sponsored Members" flag enabled. Select the existing member who sponsors this new member.

Understanding member flags

Flag 1

Active

Active — current membership status!

The Active flag indicates whether the member is a currently active member of the association. An inactive member has been deactivated but not deleted — their history and records are preserved.
Active

The member is a current member. They appear in all member lists and owe contributions. They can log in to the mobile app.

Inactive

The member has left or been suspended. Their historical records are kept. They no longer owe new contributions and cannot log in to the mobile app.

Tips!

Use deactivation instead of deletion when you want to preserve a member's payment history. Deleted members cannot be recovered.
Flag 2

Has smartphone

Smartphone — mobile app eligibility!

This flag indicates whether the member has a smartphone capable of running the EKKOU mobile app. It is informational and is used by administrators to know which members can receive mobile notifications and use the app to pay contributions and view information.

Tips!

Members without smartphones can still be managed by administrators through the web admin panel. Their contributions and information access will be handled manually by the association.

Sponsored member

Sponsor — set by the member category!

When a member is registered under a category that has the 'For Sponsored Members' flag enabled, a Sponsor field appears in the registration form. The administrator must select the existing member who is sponsoring this new registrant. The sponsor link is stored on the member and used for contribution payment calculations.

Profile details

View and edit the member's personal information, contact details, and photo.

View the member's contribution history, payment status, and any outstanding dues.

View the member's deposit history — amounts deposited and their validation status.

View and manage which groups this member belongs to.

Activity log

A history of all actions related to this member (payments, deposits, group changes).

Ensure all Member Categories are created

All categories referenced in your import file must already exist before importing.

Download the sheet template

Download the official EKKOU import template (Excel/CSV) which contains the required columns and format.

Fill in the member data

Complete the template with your member list — one row per member.

Upload the file

Use the Import button to upload your completed file. EKKOU will validate the data and create all members in one operation.
